General terms & conditions:

Bookings for tours and bike rentals are formally accepted and confirmed by e-mail, SMS/text, What’s app, or telephone. However, we prefer to communicate through email, unless you want to book on short notice.

Bike rental for the day – you‘re most welcome just to show up at our shop on the day without booking. We seldom run out of bikes.

Our shop is closed in winter so at that time of the year it is necessary to make an appointment.

Bike rental for touring – please book those in advance. This is to ensure that you get the bike you need, and gives us a bit of time to prepare it for you.

The service is considered booked/confirmed when we have received full payment.

Methods of payment:

Or a direct bank transfer into our account.

 

Minimum number of guests
All our tours are private tours without a minimum number of guests to operate.

Cancellation policy and refunds

Cancellations must be made in writing via email to our regular email address for Reykjavik Bike Tours (found in several places on this website).

Our cancellation policy is the same/similar to the standard issued by the Iceland Travel Industry Association.

No refund is given if the tour/bicycle rental or service is cancelled within 48 hours of the confirmed start. No refund is made for any unused parts of a tour/bicycle rental or service.

We reserve the right to withhold refunds for up to 45 days to protect ourselves from scammers using stolen credit cards for example.

City tours:
If you cancel your city tour with us, Reykjavik Bike Tours reserves the right to keep the confirmation fee as follows:

  • 10 % of the price is non-refundable; this percentage reflects our cost of booking and preparing your tour.
  • 50% of the price, if cancelled formally 48 hours prior to departure.
  • 100% of the price, if cancelled within 2 days (48 hours) prior to departure.
  • There is no refund for “no-show” on the day of travel.
  • The final number of participants given 48 hours before city tours and bicycle rental is the number of participants you need to pay for. In some cases we can add more participants for an additional charge.

 

Day tours, multi-day tours, private tours and bicycle rental:
If you cancel your day tour, multi-day tour, private tour or bicycle rental Reykjavik Bike Tours reserves the right to keep the confirmation fee as follows:

  • 10 % of the price is non-refundable; this percentage somewhat covers admin and banking costs.
  • 50% of the price, if cancelled formally more than 48 hours before departure.
  • 100% of the price, if cancelled within 2 days (48 hours) prior to departure.
  • There is no refund for “no-show” on the day of travel.
  • The final number of participants given at the time of booking is the number of people you need to pay for.

Should third party service be booked by us on the customer’s behalf but not provided by us, their cancellation policy applies if it is more strict than hour terms. This includes but is not limited to accommodation, restaurants, tickets of any kind and activities.

Bicycle rental:

We rent rent all sorts of bicycles and bike equipment to individuals and groups for short- or long term.

Please rent only a bicycle that is suitable for the terrain you expect to be cycling in, i.e. a city bike is suitable for the city, and our mountain bikes are suitable for gravel roads for example.

In case you were wondering, the use bicycles is always included in the price of tours.

We check our bicycles regularly and thoroughly but if we missed something, please point it out to us before you ride away from our shop.

Regular wear and tear is of course expected. We charge equal to the replacement cost for a lost bike, stolen bike, broken bike beyond repair, broken parts or lost parts such as a bicycle lock or helmet.

Should something fall off the bike or get damaged, we reserve the right to charge the equal amount to what it costs to replace the same.

There is no additional charge for the labor picking up spare parts and replacing them. We also don’t charge for the time the bicycle is being repaired and cannot be rented. This we consider our duty and part of the service we offer.

All rentals longer than 24 hours are charged as full day. For example, if you rent a bicycle at noon the first day, keep it for the second day and return it in the morning on the third day it counts as a 3 day rental.

We accept a valid Visa or MasterCard credit card number as a security deposit for our rental bikes. If you don’t have such a card, we ask for a reasonable cash deposit for the equipment rented, or your passport.

Full payment for long term bicycle rental is due before pick up.

No refund is issued when a tour/bicycle rental or any of our service is cancelled within 48 hours of the confirmed starting day and time.

No refund is issued for any unused parts of a tour/bicycle rental or service.

What equipment is included with the bicycle rental?
Bicycle, helmet, lock and map is included with all our rentals. All our touring bikes and mountain bikes come with a rear rack to hold panniers/side bags. You can bring your own panniers, or rent some of our Ortlieb panniers or handlebar bag, frame pack, or seat post bag etc.

Basic multi tool and tube repair kit is included with all our long term rentals at no cost but used/damaged or lost equipment is charged at cost price.

Cleaning fee for dirty bikes
We may charge the equivalent of up to one workshop hour, ISK 13000 (2024), for cleaning a dirty bike. This especially applies to short term mountain bike rentals.

Bicycle problems in Reykjavik
In case of a flat tire or a breakdown in Reykjavik we ask our customers to bring the bike back to us and we’ll give you a different bike or repair it on the spot. We may consider partial or full refund depending on what has happened. If you’re stuck somewhere in Reykjavik with one of our rental bikes, you are most welcome to call us and we will see what we can do depending on our availability, your location and the problem at hand.

Lost bike, stolen bike, broken parts or lost parts such as a bicycle lock or helmet must be paid for at cost price. In general we do not charge for the labor fetching and replacing broken parts. We only charge for the lost/broken parts. This we consider our duty and part of the service we offer.

Our shop is open in summer from 9 to 5 every day. We answer the phone every day from 7 am to 11 pm.

Bicycle problems outside of Reykjavik
We do our best to keep our customers on the road. We ask our customers to report the problem to us by phone as soon as it arises to help us keep delay to the minimum.

We can be reached by phone every day from 7 am to 11 pm. Time is critical when it comes to sending a bicycle part or a bicycle by public transport.

We expect our customers who rent our bikes for trips out of town to have basic knowledge on bicycle repair, i.e. how to fix a flat tire, to tighten bolts and screws before they fall out with unforeseen consequences. In case of worn tires or broken spokes as a result of regular use we will send a replacement part or have such parts replaced at a bicycle repair shop in the countryside at no cost to the customer.

We may send a part or even an entire bicycle to our customer by public transport, by bus or plane when practical. We normally pay for the shipment from Reykjavik, and ask our guests to pay for parts or bicycles sent back to Reykjavik.

We may ask our customers to visit the nearest bicycle shop along the way for assistance. Please note that many villages in Iceland do not have a bicycle repair shop and some may have limited opening times. Please keep all bicycle repair receipts and bring to us upon return to our shop in Reykjavik.

We expect our customers to order the right bike from us for the expected use, i.e. the hybrid Trek fx/ds bike is only suitable for paved roads and not gravel roads. Our gravel roads can be very rough/rocky/sandy, especially the F-roads which are mountain wilderness roads usually closed in winter. For such use we expect our customers to use a mountain bike. Customers are welcome to ask us which bike we think is the most suitable for the route/use intended. Please note that some of our staff at the shop are seasonal workers with limited knowledge of roads outside of Reykjavik. They are for obvious reason not able to give advice on roads they do not know. Best is to ask Stefan (the owner) if you have particular questions.

Weight limit for bicycles:
Bicycles in general are made for the average person who weighs about 80 kg. Although one can expect our famous brand bikes such as TREK to handle 100 kg including luggage the chance of broken wheel bearings, broken axle or broken spokes increases with weight, especially when traveling over uneven / gravel / rocky surface. Our quality aluminium rear luggage racks are made to hold maximum 20 kg in total. This is something to keep in mind when packing for a long distance trip. Should the recommended maximum weight limit be exceeded we reserve the right to charge for a new bike if the frame is damaged, or parts, such as but not limited to: broken axle, hubs, spokes, wheels and luggage racks.

The weather and conditions
All adventure trips and outdoor activities are weather and condition dependent. We reserve the right to change your itinerary or cancel your trip with your safety in mind.

In winter, when the weather is too foul to bicycle, we may offer our pre-booked and pre-paid bicycle tours in a vehicle in exchange for the bicycle tour. Only with the consent of the customer of course.

Please keep in mind that Iceland is and will always be Iceland, the weather changes very fast and can change frequently during the day on our northern island. As the weather changes, the conditions for biking change.

Our guides are used to deal with changing conditions and their number one priority is to make decisions with your safety in mind. Please respect your guides authority to do so. This is especially valid for winter travel in Iceland. Our summer trips, operated 02 May – 30 September, are very rarely adversely affected by harsh weather.

Participants on our bicycle tours must know how to bicycle, with the exception of the following tours: “Private Golden Circle & Bike Tour with vehicle support”, and “Private Lake Challenge with vehicle support”. On those two tours participants are not required to cycle. They can if they choose stay in the support vehicle.

In general, our tours are paced for the average person who’s in good health – not hard core athletes. We can of course modify any of our private tours to match the need of the group. Participants who the guide deems incapable of biking safely, or keeping up with the group, can be expected to be refused participation – in which case full charge applies.

Travel insurance
As with any and all world travel, we strongly recommend that you buy travel insurance in your home country which covers your cost should something get lost or stolen, or if you have to cancel your travel plan on short notice, or if you should endure physical injury. This kind of travel insurance is not expensive and frequently covers other risks.

Please note that some general/standard insurance policies may not cover for example mountain biking or trekking in remote areas. If for any reason an incident is not covered by the participant‘s travel insurance, the responsibility remains with the participant to cover such expenses.

Alcohol and drugs
We reserve the right to refuse participation to clients we believe are under the influence of alcohol or drugs, in such circumstances no refunds shall be given. Our guides reserves the right to refuse participation to any customer whose conduct or manner is likely to cause offense, upset or put other passengers in danger. In such cases full cancellation charges apply.

Clothing
Appropriate footwear and suitable outdoor clothing must be worn. This is especially important in winter. When it is cold the toes are especially vulnerable. We recommend that participants wear warm footwear. We’ve got some extra clothing at our bike shop, i.e. hats, gloves, coats, some rain gear, thermal overalls etc. in case you didn’t bring the right clothes with you.

Luggage storage
Our guests are welcome to store luggage at our place. Please note that Reykjavik Bike Tours and its employees shall not be held accountable in case something goes missing. Fortunately we’ve never had this happen but it is good to be up front about this kind of thing just in case.

We may have some boxes available in the shop but if you want to make sure we have one for you, please contact us at least a few days prior to the day you need the box. We charge ISK 2000 for one box. Please note that no packing materials are included with the cardboard box such as duct tape. We would take off the pedals for free but other work we may need to do on your bike for packing we charge for. The hourly rate is ISK 13000 (2024).

Governing law / Jurisdiction is in Reykjavik, Iceland. The terms and conditions are in accordance with Icelandic law.
