General Terms & Conditions

1. Bookings

Bookings for tours and bicycle rentals are formally accepted and confirmed by email, SMS/text message, WhatsApp, or telephone.
We generally prefer to communicate via email unless the booking is made on short notice.

A booking is considered confirmed once full payment has been received.

2. Payment Methods

Payment can be made via our online payment system or by direct bank transfer to our account.

Cash payments in ISK, EUR, or USD are accepted for day rentals.

3. Cancellations & Refunds – Bicycle Rentals and Tours

All cancellations must be made in writing via email to Reykjavik Bike Tours.

Refund Policy:

  • 10% of the tour price is non-refundable — this covers administrative and preparation costs.

  • 50% of the tour price is retained if the booking is cancelled between 7 days and 48 hours before departure.

  • 100% of the tour price is retained if the booking is cancelled within 48 hours of departure.

  • No refunds are issued for “no-shows” or unused portions of a tour or rental.

The final participant count provided 48 hours before departure will be considered binding and used for billing purposes.

Partial Refunds:
In the event of a mechanical issue (e.g. frame or critical component failure) that prevents use of the bicycle through no fault of the renter, a partial refund may apply from the time the issue is reported until the bicycle is usable again or replaced.

Third-Party Services:
If we book a third-party service on your behalf, that provider’s cancellation policy will apply if it is stricter than our own.

4. Deposit

A valid Visa or MasterCard credit card number is required as a security deposit for bicycle rentals.
If unavailable, we accept a reasonable cash deposit or a passport held as security for the duration of the rental.

6. Lost, Stolen or Damaged Bicycles 

Customers are responsible for selecting a bicycle suitable for their intended use.
All bicycles are regularly maintained and inspected; however, we ask customers to report any issues before leaving the shop.

Lost or stolen bicycles, or damaged/missing parts (including locks and helmets), must be compensated at cost price.
There is no additional charge for labor or downtime while repairs are carried out.

7. Bicycle Issues in Reykjavík

If you experience a flat tire or mechanical issue in Reykjavík, please return the bicycle to our shop.
We will repair it immediately or provide a replacement bike.
Partial or full refunds may be considered depending on the situation.

If you are unable to return the bike, please call us – we will do our best to assist, depending on staff availability, location, and the nature of the issue.
Please note that we do not have a dedicated pickup service on standby.

8. Bicycle Issues Outside Reykjavík

Customers renting bicycles for travel outside Reykjavík are expected to have basic repair knowledge (e.g. fixing flat tires, tightening bolts).

If an issue arises:

  • Notify us immediately by phone (available daily from 9:00 AM to 9:00 PM).

  • Time is critical for sending parts or replacement bicycles via public transport.

  • For normal wear and tear (e.g. worn tires, broken spokes), we will cover the cost of replacement or repair.

  • We may send parts or bicycles by bus or plane when practical.

  • In some cases, we may direct you to the nearest available bicycle repair shop.
    Please keep all repair receipts and present them when returning your bike for reimbursement.

9. Weight Limit

Our bicycles are designed for riders up to approximately 100 kg.
Premium models (e.g. TREK) can typically handle up to 125 kg including luggage, though risks of mechanical damage increase on rough terrain.
Rear racks are designed to carry a maximum of 20 kg in total.

10. Weather & Conditions

All outdoor activities in Iceland are weather – and condition-dependent.
We reserve the right to modify itineraries or cancel tours for safety reasons.

Please note that weather in Iceland can change rapidly throughout the day, which may affect cycling conditions.

11. Travel Insurance

We strongly recommend that all participants obtain comprehensive travel insurance covering:

  • Trip cancellation or interruption

  • Loss or theft of personal items

  • Medical expenses or injury

Please ensure your policy includes coverage for cycling, mountain biking, or trekking in remote areas, as standard policies may not.

If an incident is not covered by a participant’s insurance, the participant remains responsible for any related expenses.

13. Alcohol & Drugs

We reserve the right to refuse participation to any individual who appears to be under the influence of alcohol or drugs.
In such cases, no refund will be issued.
Guides may also deny participation to anyone whose behavior is deemed unsafe or disruptive to others. Full cancellation charges will apply.

14. Clothing

Participants must wear suitable outdoor clothing and appropriate footwear.
This is particularly important in winter – warm footwear is essential.
We have a limited supply of extra clothing (e.g. hats, gloves, coats, rain gear, thermal overalls) available at our shop if needed.

15. Luggage Storage

Bicycle rental customers may store luggage at our premises free of charge during the rental period.
Please note that Reykjavik Bike Tours and its staff accept no liability for lost or missing items.
